Accounts & Admin Assistant

We are looking for a smart, organized, and detail-oriented Accounts & Admin Assistant to join our growing team in Nairobi. The ideal candidate will support the finance and administration department in day-to-day operations, data entry, record keeping, and office coordination.

Key Responsibilities:

  • Assist in daily accounting data entry and record updates
  • Prepare invoices, quotations, receipts, and payment vouchers
  • Maintain organized filing systems for financial and administrative documents
  • Support bank reconciliations and supplier statement follow-up
  • Assist in petty cash management and expense tracking
  • Follow up on client payments and outstanding balances
  • Support procurement records, purchase orders, and delivery documentation
  • Handle office administration duties and general coordination
  • Maintain spreadsheets and reports using Excel
  • Provide support to the Finance Officer and management team

Requirements:

  • Diploma or Degree in Accounting, Finance, Business Administration, or related field
  • Minimum 1–3 years of relevant experience
  • Good knowledge of Microsoft Excel and basic accounting systems
  • Strong organizational and time management skills
  • High level of accuracy and attention to detail
  • Good communication skills
  • Honest, responsible, and professional attitude
  • Ability to work under pressure and meet deadlines

Added Advantage

  • Experience with accounting software such as QuickBooks, Sage, or Odoo
  • Experience in construction, manufacturing, or trading environment
